GSA Commons Coordinator
The Graduate Students' Association (GSA) is seeking dedicated and organized Office Coordinators to support our day-to-day operations and ensure smooth office functionality.
The GSA represents over 4,000 graduate students at the University of Saskatchewan, offering professional, academic, and social services while advocating for student needs. We are committed to fostering a welcoming and supportive learning environment for First Nations, Métis, and Inuit students, honoring the ancestors of this land and reaffirming our shared relationships.
Responsibilities:
- Support GSA booked events, orientations and sessions at GSA Commons or off-site. Coordinate and run weekly student events (ie: movie, trivia, game nights)
- Open, close, setup the GSA commons and office as required including furniture movement, light cleaning, general upkeep of the commons and office spaces, perform other duties as required
- Converse with event convenor to coordinate event logistics, maintain event calendars and records, perform billing and rental agreements
- Answering phone calls, taking messages, monitoring and responding to emails, processing membership payments, referring students to Executives or University services and assisting students with inquiries
- Assist the GSA Executives and Operations Manager with various administrative tasks
- Maintain the confidentiality of all GSA, student, staff, and stakeholder information accessed through the position.
- Perform duties in accordance with the GSA’s governing documents, policies, values, equity and inclusion commitments, and Executive-approved priorities.
- Exercise discretion, professionalism, and sound judgment in all interactions, and promptly escalate concerns outside the scope of the position to the Operations Manager or appropriate Executive member.
Qualifications:
- Must be a registered student in the College of Graduate and Postdoctoral Studies at the University of Saskatchewan and maintain enrollment throughout employment
- Familiarity with the GSA constitution, bylaws and policies
- Strong organizational and communication skills
- Friendly and professional demeanor
- Ability to work independently and multitask efficiently
- Proficiency in office software and basic IT troubleshooting skills
Work Type & Compensation:
- Work Type: Casual position with no minimum hours. Day, evening & weekend availability required
- Hourly Rate: $24.87 until August 31, 2026, $25.61 September 1,2026 (Aligned with Public Service Alliance of Canada Collective Bargaining Agreement for graduate students, though this position is not within a bargaining unit)

Position: GSA Council Chair
The Council Chair receives a monthly fee, paid by cheque in equal amounts during their time in this position.
Responsibilities:
The Chair shall:
- Be familiar with all governing documents, including, but not limited to, the Saskatchewan Non-Profit Corporation Act, 1995, Robert's Rules of Order, and the Association’s Constitution, Bylaws, and Policies.
- Preside over all Council and General Meetings.
- Conduct an orientation for all Councillors, which shall include a description of their responsibilities as Councillors and the mechanics of Robert's Rules of Order.
- Maintain an updated list of Voting Councillor Allocation.
- Serve as Chief Electoral Officer and perform all associated duties.
- Conduct a structured orientation and comprehensive training for the Vice Chairperson, ensuring they have the opportunity to chair at least one meeting during the term. This will facilitate a smooth transition and effective leadership in the Chairperson's absence.
Eligibility:
- Must be a Regular Member of the Association.
- Cannot be a member of Council, Executive or the Association’s Staff.

Position: GSA Vice Chair (this is a volunteer position)
Responsibilities:
The Vice Chair shall:
- Be familiar with all governing documents, including but not limited to the Saskatchewan Non-Profit Corporation Act, 1995, Robert's Rules of Order, and the Association’s Constitution, Bylaws, and Policies.
- Preside over all Council and General Meetings and perform the duties of the Council Chair in their absence.
Eligibility: You cannot hold any position in any academic council.

Position: GSA Recording Secretary
The Recording Secretary is a paid position. The Recording Secretary is compensated at the graduate student hourly rate, with a maximum number of claimable hours per meeting, in accordance with GSA policy.
Responsibilities:
The Recording Secretary shall:
- Be familiar with the Association’s governing documents, including the Constitution, Bylaws, and Policies.
- Attend Council and General Meetings.
- Record accurate minutes of Council and General Meetings.
- Record attendance at Council and General Meetings.
- Prepare clear, organized draft minutes for review.
- Submit the draft minutes to the Council Chair within the required timeline after each meeting.
- Work with the Council Chair and Vice-Chair to ensure meeting records accurately reflect motions, decisions, and key discussion items.
- Maintain confidentiality and professionalism when handling meeting records and internal GSA information.
- Ensure that final meeting records are complete, accurate, and suitable for circulation or posting once approved.
Eligibility:
Must be a Regular Member of the Association.
Cannot be the Council Chair, Vice-Chair, a member of Council, Executive, or the Association’s Staff.
